Privacy Policy

This policy explains what information ChairBooks collects, how it's used, and your choices — including for appointment texts and emails. It works alongside our Terms & Conditions.

1. Who we are

ChairBooks ("ChairBooks," "we," "us," or "our") is studio-management software for independent stylists and small service businesses, operated by ChairBooks LLC, a Nebraska limited liability company. This Privacy Policy explains how we handle personal information when a stylist uses ChairBooks to run their business, and when that stylist's clients receive messages through the Service.

2. Information we collect

Depending on how ChairBooks is used, we collect:

  • Account information — the stylist's name, email, phone, and studio details.
  • Client information, entered by the stylist — client names, phone numbers, email addresses, appointment dates/times/services, and notes the stylist chooses to keep (such as hair-service preferences).
  • Appointment and messaging data — the content and delivery status of confirmation and reminder texts/emails sent through the Service.
  • Payment information — if card payments are enabled, payment details are collected and processed directly by Stripe. ChairBooks does not store full card numbers.
  • Usage data — basic technical data (like login timestamps and device/browser type) needed to operate and secure the Service.

3. How we use information

We use this information solely to provide and support the Service, specifically to:

  • Run the stylist's booking calendar and bookkeeping records;
  • Send appointment confirmation and reminder messages (by text and/or email) to the stylist's clients, on the stylist's behalf;
  • Process payments and payouts through Stripe;
  • Maintain, secure, and improve the Service, and respond to support requests.

4. We do not sell or share your information

ChairBooks does not sell personal information, and we do not share client or stylist personal information — including phone numbers or SMS opt-in status — with third parties for their own marketing or advertising purposes. Information is shared only with the service providers described below, strictly to operate ChairBooks, and only to the extent needed to provide the Service.

5. Third-party service providers

We rely on trusted providers who process data on our behalf, under their own privacy and security terms:

  • Google Firebase — authentication, database, and file storage.
  • Stripe — payment processing and payouts.
  • Resend — transactional email delivery (booking confirmations, reminders).
  • Twilio — SMS delivery for appointment confirmations and reminders.

6. Text messaging (SMS)

If a stylist enables text reminders, ChairBooks sends appointment confirmation and/or reminder texts to their clients' phone numbers, using the appointment and contact details the stylist has entered. Message frequency depends on how many appointments are booked. Message and data rates may apply.

A client can stop receiving texts at any time by replying STOP to any message. Reply HELP for assistance, or contact the stylist directly, or reach us at support@chairbooks.com.

Phone numbers collected for SMS reminders are used only to deliver those appointment messages — never for marketing, and never sold or shared with third parties.

7. Data retention

We retain information for as long as the stylist's account is active, and for a reasonable period afterward in case the account is reactivated or as required for legal, accounting, or security purposes. Stylists control their own client records and can delete individual clients or appointments directly in the app.

8. Your choices: access, export, and deletion

Stylists can export or request deletion of their account data — including client records — at any time by contacting support@chairbooks.com. Clients who want their information removed from a stylist's ChairBooks account should contact that stylist directly, or reach us and we'll help route the request.

9. Data security

We use reasonable technical and organizational measures — including encrypted connections and access controls through our infrastructure providers — to protect personal information. No system is perfectly secure, and we cannot guarantee absolute security.

10. Children's privacy

ChairBooks is intended for business use by adults. We do not knowingly collect personal information from children under 13.

11. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify account holders.
