1. Who we are
ChairBooks ("ChairBooks," "we," "us," or "our") is studio-management software for independent stylists and small service businesses, operated by ChairBooks LLC, a Nebraska limited liability company. These Terms govern your access to and use of the ChairBooks application and website (the "Service").
2. The service
ChairBooks provides tools for scheduling, client management, income and expense tracking, receipts, reporting, tax-prep estimates, and (where enabled) card payments. We may add, change, or remove features over time. The Service is provided on an ongoing basis and may be updated, maintained, or temporarily unavailable from time to time.
3. Accounts
You may create an account through our sign-up page, or an account may be created for you by ChairBooks. You are responsible for keeping your login credentials confidential and for all activity under your account. Notify us promptly at support@chairbooks.com if you suspect unauthorized use. You must provide accurate information and be at least 18 years old to use the Service.
4. Acceptable use
You agree not to: (a) use the Service for any unlawful purpose; (b) upload content that infringes others' rights or violates any law; (c) attempt to access accounts or data that are not yours; (d) interfere with, disrupt, reverse-engineer, or attempt to gain unauthorized access to the Service; or (e) use the Service to send spam or harmful code. We may suspend or terminate accounts that violate these Terms.
5. Your data
You retain ownership of the data you enter into ChairBooks (your clients, appointments, financial records, and similar). You grant us a limited license to store, process, and display that data solely to provide and improve the Service. You are responsible for the accuracy of your data and for having the right to store any client information you enter. If you use features that send messages to your clients (such as appointment confirmations and reminders), you confirm that you have those clients' consent to receive such communications. You may request export or deletion of your data by contacting support@chairbooks.com.
6. Privacy
We collect the information you provide and basic usage data needed to run the Service. We use trusted third-party providers — including Google Firebase (authentication, database, and file storage), Stripe (payments), and Resend (email delivery) — who process data on our behalf under their own terms. We do not sell your personal information. We use reasonable measures to protect your data but cannot guarantee absolute security. For privacy questions, contact support@chairbooks.com.
7. Payments & subscriptions
New accounts may include a free trial (currently 30 days); when the trial ends, continued use of the Service requires a paid subscription. Paid plans are billed in advance on a recurring basis (monthly or annually) through our payment processor, Stripe. Unless stated otherwise, fees are non-refundable except where required by law. You can cancel at any time; cancellation stops future renewals but does not refund the current period. We may change pricing with reasonable advance notice.
8. Card payments to your clients
If you enable card payments, transactions are processed through your connected Stripe account and are subject to Stripe's terms (including Stripe's processing fees); you are the merchant of record for those payments. In addition to Stripe's processing fees, ChairBooks charges a platform fee of 0.3% of each card transaction processed through the Service, deducted automatically before payout to your account. We may change the platform fee with reasonable advance notice. ChairBooks is not a party to the transaction between you and your client and is not responsible for refunds, chargebacks, or disputes between you and your clients.
9. Not professional advice (important)
ChairBooks provides bookkeeping tools and estimates — including tax, profit, mileage, and self-employment-tax figures — for convenience only. These are not tax, legal, accounting, or financial advice, and are not a substitute for a qualified professional. Always confirm your numbers and filings with a licensed CPA or attorney. You are solely responsible for your tax filings and business decisions.
10. Disclaimers & limitation of liability
The Service is provided "as is" and "as available," without warranties of any kind, express or implied. To the maximum extent permitted by law, ChairBooks and its owner are not liable for any indirect, incidental, or consequential damages, or for lost profits, data, or revenue, arising from your use of the Service. Our total liability for any claim relating to the Service will not exceed the amount you paid us in the twelve (12) months before the claim.
11. Termination
You may stop using the Service at any time. We may suspend or terminate your access if you violate these Terms or if we discontinue the Service. Upon termination, your right to use the Service ends; we will make reasonable efforts to let you export your data for a limited period.
12. Changes to these terms
We may update these Terms from time to time. If we make material changes, we'll update the "Last updated" date and, where appropriate, notify you. Continued use of the Service after changes take effect means you accept the revised Terms.
13. Governing law
These Terms are governed by the laws of the State of Nebraska, USA, without regard to its conflict-of-laws rules. Any disputes will be resolved in the state or federal courts located in Douglas County, Nebraska.
